On-Site Requirements & Policies
In order for everyone in your group to have a positive chair massage experience, please keep the following policies in mind.
The massage therapist(s) arrive no less than 20 minutes before the start-time of your event. This gives them plenty of time to set up before they begin work.
Each massage therapist needs a minimum 5’ x 6’ space for 5-minute tune ups; a minimum 6’ x 6’ space for 10-minute massages; and a minimum 8’ x 8’ space to do 12-minute or longer massages (within which to set up their massage chairs and work). The space must be well-lit and well-ventilated. The therapists also need a minimum 3′ x 3′ table (up to 2 therapists per table) on which to put their supplies. Also, please provide a small trash can (up to 2 therapists per can).
For group events in which participants sign up for specific appointment times, a customized sign-up sheet is provided for you and sent to you via email to be printed. (On-line Scheduling is also available at no extra charge.) There may be more than one sign-up sheet, depending on the number of therapists coming to your site. We highly recommend that all participants be notified about the chair massage event at least one day before the event and that everyone who is to receive a massage already be scheduled on the sign-up sheet(s) before the massage therapist(s) arrive. This way there are no delays in deciding who is going to go 1st, 2nd, 3rd and so on. Due to other time commitments, the therapist(s) may not work past the agreed upon hours. EACH SIGN-UP SHEET WILL INCLUDE EACH PARTICIPANT’S NAME, MASSAGE APPOINTMENT TIME, AND TELEPHONE EXTENSION NUMBER. Please give the sign-up sheet(s) to the therapist(s) when they arrive. As part of our service, the massage therapist(s) make courtesy calls to remind participants who are not on time for their appointments. The Therapist(s) will take the sign-up sheet(s) with them when they leave. If you want copies, make sure you get them copied before they leave.
What if we cannot fill the schedule?
Customer is being charged for the time necessary for the massage therapists to provide the number and length of massages requested. However, Customer may reduce the number of massages requested and consolidate the therapists’ schedules no less than 96 hours before the agreed-upon first day, date and time of the event without penalty, unless the reduction in number warrants an increase in price per hour per therapist subject to the pricing chart posted at http://orders.seizethedaymassage.com/prices.
If it is less than 96 hours before your event and there are still openings in the schedule, we recommend that you offer the “additional” sessions to those employees/participants who really love chair massage and will “jump” at the chance to sign up for a second or third session.
Late Policy (for Scheduled Massages)
Participants arriving late to their scheduled chair massage appointments will only receive the time remaining for their massage. As part of our service, the massage therapist(s) make courtesy calls to remind participants who are not on time for their appointments. But you may want to designate someone in your office to call and remind each participant a few minutes before each appointment (Optional).
Therapists' Breaks (for Scheduled Massages)
Hard break-times are written into the sign-up sheets so there is no confusion as to when the massage therapists are to receive their breaks. You, the customer, are never charged for therapists’ break times.
For group events in which participants do not sign up for specific appointment times, we will have them sign up on our Non-Scheduled Event Sign-up Sheet (which the massage therapists will bring with them to the event). The massage therapist(s) will work on participants in the order in which they sign up (or they will just take each participant, one at a time, one after the other, as they show up).
Important Note: Expect up to 5 minutes of down-time between each massage in order to dis-infect the chair, wait for the next participant to get into the chair, and acclimate each participant to the chair massage experience (i.e. ensure informed consent).
Therapists’ Breaks (for Non-Scheduled Massages)
Massage therapists working for Seize the Day, will not work more than 2 hours without receiving a minimum 15-minute break. You, the customer, are never charged for therapists’ break times. The therapists (if more than one) will not take their breaks at the same time to ensure that there is always someone providing chair massage throughout this type of event.
We are sorry, but the therapist(s) will not knowingly work on anyone who is trying to become pregnant (and is not sure they are not pregnant) nor anyone who is in their first trimester of pregnancy, nor anyone experiencing a problem pregnancy. The therapist(s) will also be discretely/verbally screening for pregnancy. For anyone looking for massage therapists specializing in pregnancy, they may call 512-560-2523.
We do not guarantee that the therapist(s) will bring music. If you definitely want music provided during the massages, you will need to provide your own Jam Box/MP3 Player and CD’s/MP3’s.
For chair massage events occurring after sunset, we require that, for the therapists who may request it, you provide escorts back to their cars after the event.
What if we need more massages/time?
Due to other time commitments, the therapist(s) may not work past the agreed upon hours. HOWEVER, If you end up needing/wanting more time for chair massage (at the end of the Massage Therapist’s work period) than you originally agreed upon AND the massage therapist agrees to work longer, you will be charged as follows: $1.25 per minute per therapist for each additional minute each massage therapist works beyond their original agreed-upon end time. You can try to call the Events Coordinator at 512-327-2284, ext. 7, and see if they can add the charges to your bill. Otherwise, you must pay each massage therapist directly for their extra time before he/she leaves your site. Both checks and cash accepted. (Checks are to be made out to Seize the Day Massage.)
